Collaborating with multiple users: You’ve shared your presentation with several individuals and granted them editing access. So, how does this type of collaboration actually function in real-world scenarios? Discover some essential tips to launch your collaborative efforts with great success.

Only one document exists

Sharing your presentation doesn’t imply a different version. There is a single master version. Any edits will reflect in your collaborators’ document. This is perfect for seamless collaboration, especially under tight deadlines. It is crucial for getting quick feedback as you work. You can switch your document back to Private in the Sharing settings at any time. Or, create a private copy by going to File > Make a copy.

Collaboration is a breeze

Google has made it easy to collaborate with multiple team members in a Google Slide presentation. Check out the top right panel to see which collaborators are part of the presentation. Collaborators will be represented as vibrant circles featuring initials or profile pictures, if available. Hover over the circles to uncover the complete details of the collaborator.

Monitoring Edits: Discover the edits your co-workers are making in real-time. You can watch their actions unfold in real-time as they type, sketch, or insert an image. They can also see your responses. Knowing others’ work lets you ensure everyone is aligned. This leads to faster task completion. Follow your collaborators effortlessly by clicking on their headshot. This feature is handy during calls. It keeps you aligned with what they’re viewing in the deck. These features can transform the experience. But, use them wisely. Avoid hovering over your co-workers’ slides for too long. It might make them uncomfortable to feel watched!

Utilizing Comments: If you and your colleagues aren’t collaborating on a Google Slide presentation simultaneously, consider leaving notes for them to review later. To share your thoughts, click the toolbar’s “Add comment” icon. Alternately, choose Comment from the Insert tab in the navigation bar. Just right-click on a slide to add a comment, or use CTRL + ALT + M. A box will appear beside your slide, inviting you to type. To assign an action to someone, enter the @ symbol and their email address. You will see an option to assign it to that individual. Mentioning someone in a comment will email them. They won’t overlook it.

Chat Feature: Engage in real-time conversations with your collaborators using the built-in chat feature in Google Slide presentations. It’s designed for seamless communication! For optimal use, ensure that at least one other collaborator joins the presentation simultaneously with you. To access the chat, simply click on the blue person icon with the speech bubble located in the top right corner, adjacent to the profile icons. You can start a chat in the new window that appears. To close the chat window, simply click the same button you used to open it.

Send an email to several collaborators

Another noteworthy collaboration feature is the ability to email collaborators directly from Slides. This is perfect for reaching out to all your collaborators at once. Navigate to the File tab, select Email, and then opt for Email collaborators. Compose a message to share with any number of collaborators you choose. Just select the names of the individuals you wish to message in the right-hand column and hit Send.

Working without an internet connection

Google Slide presentations can be used without needing an internet connection. For those utilizing Chrome or Edge as their browser, offline access to Slides is at your fingertips. This feature is useful for editing your Slides deck on the go or when you have no internet access to present. When storage is tight, you can easily prioritize your files. Simply head to File and choose Make available offline, or right-click on the file in Drive to select the option you need.

To set up a Google Slide presentation for offline use, start by ensuring you’re connected to the internet and using either Chrome or Edge as your browser. To get started, make sure to download the Google Docs Offline Chrome extension, available at this link. Click the gear option in the top right corner of Google Drive and select Settings from the dropdown menu to view the settings. In the General settings, ensure the Offline checkbox is selected, then click DONE. A notification box will show up in the lower left corner of your screen while offline setup is in progress.

To begin, go to the Slides homepage. Then, select the main menu button, an icon with three horizontal lines in the top left corner. Navigate to Settings and ensure that the Offline button is switched on (to the right). It’s time to unplug from the internet and dive into your offline work!

Google Drive should continue to load seamlessly in the Chrome browser. Simply launch your Google Slide presentation as you usually would and start making your edits. Beside the title of your presentation, a small lightning bolt icon awaits your attention. You are currently operating in offline mode. Feel free to make adjustments and showcase your presentation just as you typically would in an online setting. Once you’ve completed your edits, simply close your presentation as you usually would.

When you reconnect to the internet, your offline work seamlessly syncs. Any changes made to your Google Slide presentation will automatically update in Google Drive as soon as you open the file online. It’s important to highlight that if a collaborator modifies the online document while you’re working on it offline, all changes will seamlessly sync within the same file. If you find yourself facing conflicting changes that leave you dissatisfied, take advantage of the Version history feature to restore a previous version.

Preserving your progress

The online version of Google Slide presentation saves your presentation in real-time as you create it. The reason the Slides browser version lacks a save button is simple: It saves automatically. You can focus on your work. You won’t lose anything if your computer crashes or if you accidentally close your browser.

File conversion: To save your Slides file to your desktop or a flash drive, you’ll need to convert it to a different file format, like Microsoft PowerPoint, before proceeding.  Soon, we will walk you through each stage of the procedure.

Creating a duplicate of your presentation is a breeze with these two simple methods. To copy a presentation in Google Drive, right-click the file. Choose “Make a copy” from the menu after that. Another option is to open your presentation and navigate to File > Make a copy….

Version control: If you typically work with desktop presentation software, you might find yourself emailing various versions of a presentation to one another. This can be quite perplexing. It is especially true when merging updates across different versions.

Google Slide Presentation eliminates this problem, as everyone collaborates on a single document. All collaborators with access to the document will see your changes. This is quite useful, but what do you do if you need to go back to a previous version? With Slides, you can easily track your presentation’s evolution. You can revisit and restore any prior version whenever needed. Explore the complete history of editing rounds. It should trace back to the very inception of the presentation document.

Navigate to File, select Version history, and then click on See version history in Google Slide presentation. Explore the various dates to preview the document’s appearance at each moment in time. If you’re in search of a specific slide, line of text, or image that has been removed, you can effortlessly copy it from the previous version, close the Version History window, and paste it into the most recent version. To fully return your document to a previous version, simply click the Restore this version button located at the top left. Selecting this option will completely replace your current version with the one you are restoring.

Naming versions: When multiple collaborators are involved in your deck, keeping track of the Version History window can become challenging, particularly with several iterations occurring within the same day. Effortlessly keep tabs on your various iterations by simply naming each version. In the Version History window, simply double-click the date of the version you wish to name. When a dialog box opens, you can type a new name.

Google Slides has streamlined the process of converting to and from various presentation software. In this section, we’ll explore the fundamentals of conversion using a selection of popular software. Remember that various presentation software come with unique features, meaning that some slide elements, such as animations or color palettes, might not translate perfectly or assume how to translate Google Slides. Before presenting, make sure to meticulously review your slides for any errors after converting any file type!

Transforming Google Slide Presentations into Microsoft PowerPoint and vice versa

While converting to and from PowerPoint seems simple with Slides, it often comes with its fair share of complications. It’s important to highlight that the animation features vary significantly across different programs, which means that certain animations might not survive the conversion process. This is absolutely a must-check before your presentation!

Simply select File in the menu bar and hover over Download to save your Slides project as a PowerPoint file to your desktop. From the drop-down menu, choose Microsoft PowerPoint (.pptx).

Transforming your presentation from PowerPoint to Google Slide presentation is relatively straightforward, yet it’s important to be aware that glitches can frequently occur. To get started, head to your Google Drive homepage and click the + New button. The PowerPoint file you want to upload from your PC can then be selected by selecting File upload. After uploading your file, find it in Drive and perform a right-click. Choose Open with and select Google Slides.

To seamlessly integrate PowerPoint slides into your current Google Slides presentation, navigate to File > Import Slides. From there, select a file you’ve previously uploaded to Drive, or opt to upload a new one directly from your desktop. After uploading, you’ll have the opportunity to select the specific PowerPoint slides you’d like to bring into your Google Slides presentation.

Exploring how to import PowerPoint to Google Slides and back again can be a bit more complex, as it requires the extra step of converting to PowerPoint first. At this time, a direct conversion between Slides and Keynote is not available.

Go to the File tab in the menu bar, choose Download, then Microsoft PowerPoint (.pptx), and save your presentation to convert your Slides into Keynote. To open your converted PowerPoint file in Keynote, simply navigate to the menu bar, click on File, select Open, and choose your file from the new window that appears. Your presentation is now ready to be imported into Keynote. To store it as a Keynote file, navigate to the menu bar, select File, and then choose Save.

To transform your Keynote presentation into Google Slide presentations, launch Keynote, navigate to the File menu, and choose Export to > PowerPoint (.pptx). In the new window, click Next > Export. Begin by accessing Google Drive to create a fresh Slides presentation. Next, select the Import Slides option under the File item in the menu bar. You will be able to upload your converted PowerPoint file in a new window. Select specific slides to import from this location, or opt for all by clicking the All button in the top right corner. Once you’re satisfied with your slide selection, go ahead and click on Import Slides.

Currently, there is no direct method available for converting between Prezi and Google Slides. PowerPoint can serve as a tool to seamlessly bring your Prezi into Slides. To convert Prezi to PowerPoint, you can export your presentation as a PDF and then copy and paste each slide into PowerPoint individually. This technique lacks efficiency, potentially leading to corrupted colors or slide objects, and unfortunately, all animations will be lost during the PDF conversion process.
