First, let’s locate the Share function in Google Slides before diving into the details:

  • Launch Google Slides and select File from the top menu.
  • Select Share from the top of the drop-down menu

With the Share feature in Google Slide presentation, you can effortlessly distribute your Google Slides presentation to multiple individuals and groups simultaneously. Choose from three options: Viewer, Commenter, or Editor. Editor: Ideal for teamwork and joint ventures. The editor enables you to share an editable version of your presentation. All individuals granted this permission can collaborate on the same slides simultaneously. This ensures you avoid having several iterations of the same deck.

After choosing one of these permission options, you can confidently click Send. By selecting Notify people, your contact will be informed via email that they have been granted permission to access or engage with your deck.

The owner of the Google Slide presentation is prominently displayed at the top of the Share with people and groups pane. Below, you’ll find details on who has access to the deck along with the current status of their permissions. To modify someone’s permissions, simply click the yellow Share button whenever you need, and adjust the permissions through the drop-down menu provided.

To cease sharing with a particular individual:

  • Tap Share and navigate to the contact you wish to eliminate.
  • Click the drop-down arrow beside their name. Choose Remove.
  • Hit Save.

Take note of the options to grant temporary access and assign ownership in your Google Slide presentations. By opting to grant temporary access, you have the flexibility to adjust the duration for which your contact can access your deck. Simply click on the number of days next to Access expires to adjust the expiration date. This is an excellent choice when collaborating with individuals beyond your organization, including clients or agencies. You can set the expiration date to coincide with the project’s conclusion, ensuring it aligns perfectly with the receipt of feedback and the completion of the work.

Transfer ownership of the Google Slide presentation to another user with ease. Once you’ve crafted your presentation, you may need to pass it along to the presenter, for instance. You can give someone else complete control with this option. Exercise caution when using it. After transferring ownership, retrieval is not an option unless the new owner decides to return it or grants you access permissions.

Pro tip: As the Google Slide presentation owner—whether you’ve crafted it yourself or received ownership from the original creator—you unlock additional sharing options. Upon clicking Share, a cog will elegantly appear in the top right-hand corner. You have the flexibility to decide if your Editors can modify permissions and share, or if Viewers and commenters will have the ability to download, print, and copy. Simply check or uncheck the box to proceed. Simple!

  • In the Get link section, click on Change.
  • Select if your deck is Restricted or if Anyone with the link can access it. 

Important: By changing a link’s setting to Restricted, only those individuals you have specifically shared with in the Share with people and groups section will have access to view the deck.

While the Anyone with link feature offers convenience, it may not provide the highest level of security. Keep in mind that the individuals you first shared the link with have the ability to pass it along to their friends, colleagues, and contacts as well. This means your presentation has the potential to be shared infinitely and reach a wide audience! If your deck includes sensitive information, it’s advisable to avoid this method.

The viewer will not have the ability to choose which slides to view or the sequence in which they are presented. When you choose to publish your slides to the web, keep in mind that their content will be accessible to all. Exercise caution if your slides include any confidential information. 

To do this:

  • Navigate to File 
  • Choose Publish to the web
  • Choose Embed or Link. You may easily embed the link for your blog and website, or you can share it with your contacts.
  • Select your preferred playback options for the slides from the drop-down menu located under Auto-advance slides.
  • Hit Publish
  • Share your deck by copying the URL or HTML.

  • Navigate to the File menu and choose Download.

  • Access your document

Although numerous formats exist, we advise against using all of them. When you download your slides as an Image, whether in PNG or JPEG format, you risk losing quality. Additionally, the presentation becomes static, and you’re limited to downloading one slide at a time. For printing or emailing your deck, downloading it as a PDF is the optimal choice to obtain a fixed version of your slides.
